If you employ a personal or household driver, the single most useful document to keep every month is a signed salary receipt. It protects you as the employer, it gives the driver clear income proof, and it ends the guesswork around "kitna diya, kab diya" when memory fades after a few months.

BillCraft's driver salary receipt is a deliberately simple, single-amount slip — matching how most Indian households actually pay their driver. No overtime tables, no allowance breakdowns, no tax columns. Just the six facts that matter, on a clean PDF you can hand over, email, or WhatsApp.

The exact fields in this receipt

Every field below comes straight from the BillCraft driver receipt template — nothing extra, nothing missing:

  1. Employer Name — e.g. "Mr. Rajesh Kumar". The person paying the salary.
  2. Driver Name — e.g. "Ram Kumar". Full name, not nickname.
  3. Amount (₹) — the monthly salary being paid, as a single number.
  4. For the Month of — free-text month label, e.g. "March 2026" or "April 2026".
  5. Vehicle Number — the car/vehicle the driver is engaged with, e.g. "DL 01 AB 1234".
  6. Date — the date the receipt is issued (usually the payment date).

The generator turns these six inputs into a formatted PDF receipt with your employer name as the header and "Driver Receipt — Salary/Wages" as the sub-title. Total on the receipt equals the amount you entered.

Who uses a driver salary receipt?

  • Household car owners paying a monthly driver — standard in metro cities.
  • Self-employed professionals (doctors, lawyers, consultants) who drive to clients and want salary expense proof for old-regime tax filing.
  • NRIs paying a driver back home — the PDF gets shared over WhatsApp every month.
  • Drivers themselves applying for a two-wheeler loan, opening a bank account, or submitting rental documents — 6–12 signed receipts + bank statements work as informal income proof.
  • Small business owners with one delivery vehicle who prefer keeping driver salary outside a full payroll system.

Why the template stays simple (and when to use something else)

The receipt is intentionally a single-line "amount paid" slip because most household driver arrangements in India don't have formal overtime rates, variable allowances, or structured deductions. Adding them would be fake precision.

If your case genuinely needs more structure — say, you run a fleet of 5 drivers and want OT, advance ledgers, and PF/ESIC calculations — you're past the point where a one-page receipt helps. You'll want proper payroll software. This tool is for the ₹12,000–₹35,000/month household driver, not for a logistics company.

Legal & tax notes in plain English

  • No GST. Household driver salary is an employer-employee payment, not a service. GST doesn't apply and the receipt doesn't carry GSTIN or HSN.
  • Business vehicle? If the car is used for business and you're not under the 44ADA/44AD presumptive scheme, the driver's salary is deductible under Section 37 of the Income Tax Act. Bank transfer is cleaner than cash for audit purposes.
  • Section 192 TDS applies technically if the annual salary exceeds the basic exemption threshold, but most household drivers earn below ₹3L/year so it rarely kicks in.
  • Agency driver? If you pay through an agency, the agency raises its own GST tax invoice (SAC 9985, 18%). You don't use this form — you keep the agency invoice.

Common mistakes to avoid

  • No receipt at all. When disagreements come up six months later — "maine toh April ka diya tha" — both sides have nothing to refer to. Thirty seconds a month prevents the whole issue.
  • Writing only the amount without vehicle number or month. Makes the receipt useless as proof. The vehicle number plus month is what ties the salary to a specific service period.
  • Inconsistent dates. If your receipt is dated 3-Apr-2026 but your bank transfer shows 28-Mar-2026, pick one and be consistent. Ideally receipt date matches payment date.
  • Sharing only a WhatsApp voice note. Audio isn't legally a receipt. The one-page PDF with both names and amount is what works as documentary evidence.

Frequently asked questions

Can I use this as income proof for a driver's loan?

Yes. Most NBFCs and some banks accept 6–12 months of signed salary receipts alongside bank statements showing the transfers. A short employment letter on your letterhead strengthens the claim further.

Why is there no overtime or allowance field?

Because most household driver arrangements don't actually track OT — the monthly salary is usually a flat figure. Keeping the form to a single amount prevents forcing you to invent numbers. If you do pay OT separately, issue a second receipt for that amount with "OT — March 2026" as the month label.

Does the driver need to sign this?

Strictly speaking, a signed physical copy from the driver makes the receipt stronger as evidence. For loans or income proof, many lenders accept the PDF + corresponding bank transfer screenshot without a physical signature.

Is a driver's licence number mandatory?

No. The current template uses vehicle number as the link between driver and employer. If you want to add DL number, add it manually in the amount-in-words field or keep it in your own driver-info register.

What date format should I use for "For Month of"?

Free text — use whatever is clearest. "March 2026", "Mar 2026", "01-31 March 2026" all work. Consistency month-to-month matters more than format.
