Who should pick what?

Honest answer: there’s no “best.” There’s only what fits your workflow.

Pick BillCraft if…

You bill people occasionally and don’t need accounting baggage.

  • You’re a freelancer, consultant, tutor, or service provider
  • You bill 1–50 clients a month, not 500
  • You don’t track stock or inventory at all
  • You want zero learning curve — open browser, fill form, download PDF
  • You don’t want to pay ₹3,000+ a year for invoicing alone
  • You’re fine with no built-in customer ledger

Pick Vyapar if…

You run a shop with daily inventory + udhar tracking.

  • You’re a retail/wholesale shop with physical stock to track
  • You issue 100+ bills per month with repeat customers
  • You need expense tracking, profit reports, and cash-flow statements
  • You give udhari (credit) and need a customer ledger
  • You’re comfortable with desktop software (Windows)
  • The yearly fee is worth it for accounting + inventory in one place

What each tool actually does well

Quick look at where Vyapar pulls ahead, and where BillCraft is plenty.

1. Invoice creation

Both nail this. Both tools generate clean GST invoices with CGST/SGST/IGST auto-split, party details, item lines, taxes, and a PDF output.

BillCraft wins on speed of first invoice — no signup, no app install, just open pybillcraft.shop/generator. Vyapar wins on recurring invoicing for repeat customers, since it remembers your party master.

2. GST compliance

Both support HSN codes, GSTIN validation, reverse charge, and tax-inclusive/exclusive lines. Vyapar additionally exports GSTR-1 / GSTR-3B JSON files for direct upload to the GST portal — that’s a real workflow saver if you file returns yourself.

BillCraft is for creating the bill. Filing happens elsewhere (CA, ClearTax, GST portal direct).

3. Inventory & stock

Vyapar wins outright. If you’re running a retail or wholesale shop, Vyapar tracks each item’s opening stock, sales, purchases, low-stock alerts, expiry dates, and barcode scans.

BillCraft does not do inventory. It’s a bill generator, not a stock manager. If you sell physical goods at scale, this is a real gap — pick Vyapar.

4. Accounting & reports

Vyapar gives you daybook, P&L, balance sheet, party-wise outstanding, and cash-flow statements. It’s a small-business accounting suite, not just a billing app.

BillCraft has no ledger, no books. If you want reports, you need a separate tool (Tally, Zoho Books, even Excel).

5. Where you can use it

BillCraft works in any browser — phone, laptop, tablet, even at a kirana counter on a cheap Chromebook. Plus an Android app.

Vyapar runs on Android and Windows desktop only. No iOS app, no web version, no Mac. If you’re an iPhone user, Vyapar isn’t for you out of the box.

6. Customer support

Vyapar has a real support team — phone, email, in-app chat. Useful when you’re troubleshooting GSTR exports or migration.

BillCraft is self-serve. Documentation, FAQ, and email contact only. Honest tradeoff for being free.

The honest pros & cons

Including the cons of our own tool. Because pretending we’re perfect is how trust gets broken.

Switching from Vyapar to BillCraft?

If you tried Vyapar and just need clean bills without the accounting overhead, here’s the path.

1

Export your party master from Vyapar

In Vyapar, go to Reports → Sale → Party Statement or use the “Export Backup” option. You’ll get an Excel/CSV with customer names, GSTINs, and addresses. Keep it open in a tab while billing — or use it for reference inside BillCraft’s party fields.

2

Open BillCraft & pick your bill format

Head to pybillcraft.shop/generator. Pick the layout closest to what you used in Vyapar — GST tax invoice for B2B, retail thermal for shop counter, etc. There are 13+ to choose from.

3

Generate & download — you’re done

Fill in seller and buyer details, add items, hit Download PDF. The bill is yours — print, email, WhatsApp. No login required. No yearly fee. If you sign in (free), saved bills sync across devices.

Common questions

Genuinely free. No trial, no credit card, no “upgrade to download.” You can use every feature without signing in. We do offer optional sign-in to sync your saved bills across devices — that’s also free. We don’t sell your data; see our privacy policy.
For invoicing alone, yes — especially for service businesses, freelancers, consultants, and small shops. For inventory tracking, customer ledgers, GSTR JSON exports, and full accounting books, no — that’s where Vyapar (or Tally, Zoho Books) wins. Be honest with yourself about whether you actually use those features today.
BillCraft generates compliant GST tax invoices but doesn’t file returns. Most small businesses either (a) hand bills to a CA who files for them, (b) use ClearTax / Tally for filing only, or (c) file directly on the GST portal. If you file yourself and want one tool to bill + export GSTR, Vyapar (or paid alternatives) makes sense.
Vyapar doesn’t support iOS or Mac. BillCraft works in Safari on iPhone, iPad, and Mac — same web app, no install. If you need a native iOS billing app, look at Refrens, Zoho Invoice, or Vyapar’s competitors that ship on iOS.
It depends on what you use it for. If Vyapar is replacing inventory + accounting + invoicing — that’s less than ₹300/month for three tools. Reasonable for a shop. If you’re only using it for invoices, you’re overpaying — switch to BillCraft (free) or another free invoicer.
Tally is the legacy standard for Indian accounting — powerful but with a steep learning curve and Windows-only. We have a separate BillCraft vs Tally comparison if you’re weighing both.
Yes — BillCraft has retail/thermal layouts that print cleanly on 58mm and 80mm thermal printers, plus standard A4 GST invoices. Just pick the format from the generator page.
If you don’t sign in, nothing leaves your browser — bills are generated client-side and downloaded as PDF. If you sign in (optional), saved bill metadata is encrypted and synced via Firebase to your account only. Full details in our privacy policy.
